Email Settings
Email Settings control how OffZio sends network mail and what those messages say. You choose system delivery or your own SMTP, then edit the templates that go to publishers and advertisers when accounts or campaigns change.
The page title is Email. Two tabs: Email delivery and Email Templates.
What Email Settings control
- Whether outgoing network emails leave through OffZio system mail or your domain’s SMTP.
- The subject, HTML body, and Active status of each network template.
- Branding inside those templates (network name and logo from Branding Settings).
Note: Platform signup emails stay OffZio-branded. Network templates wrap in your parent layout (name and logo). Set Network Name and Logo under Branding if the wrapper should look like your company.
Who can change Email Settings
Only a Network Admin should change SMTP or templates. Publishers and advertisers cannot open this page.
Confirm your role on the sidebar profile card if you are unsure. It should show a name and role such as OffZio Admin · Network Admin.
How to open Email Settings
- Sign in as a Network Admin.
- In the left sidebar, click Settings.
- Under Communication, click Email Settings.
Email delivery — system vs SMTP
The heading is Email delivery. Help text: Network emails use your branding. Choose system delivery or your own SMTP.
The page states:
Note: Using system delivery. Outgoing network emails send through Offzio system mail. Add your own SMTP below if you want mail to leave from your domain.
Note: Optional: fill in SMTP, test credentials, then save. Leave blank or remove custom SMTP to keep using system delivery. Templates always use this network's name and logo.
- System delivery — Leave SMTP blank (or remove custom SMTP). Mail sends through OffZio system mail.
- Custom SMTP — Fill the fields below so mail leaves from your domain (for example hello@yourdomain.com).
SMTP fields
- Username / From email — Placeholder: hello@example.com. Help: Sender address for all outgoing network emails when custom SMTP is active.
- Password — Help: Your SMTP username/email password.
- Host — Placeholder: smtp.gmail.com. Help: SMTP host from your email provider.
- Encryption — Example: TLS.
- Port — Example: 587.
Use Test Credentials after you fill the fields. If the tab shows a Save control, test first, then save. This article does not invent extra fields such as from name or reply-to.
Note: Do not share SMTP passwords in chat, Internal Note, or screenshots. If your provider requires an app password instead of the mailbox password, use that app password in the Password field.
Email Templates
The banner reads: These templates wrap in your network parent layout (network name and logo). Platform signup emails stay Offzio-branded.
Each row is a template title plus an example subject:
- Account removal/deleted Email — Subject: Your account has been removed. Sent when an account is deleted.
- Account suspended Email — Your account has been suspended.
- Advertiser Approved Email — Your advertiser account has been approved.
- Publisher Approved Email — Your publisher account has been approved.
- Campaign Deleted — Campaign removed:
{campaign_name} - Campaign Payout Changed — Campaign payout update:
{campaign_name} - Campaign Status Changed — Campaign status update:
{campaign_name} - Campaign Visibility Changed — Campaign visibility update:
{campaign_name} - Advertiser Welcome Email — Welcome to
{company_name} - Publisher Welcome Email — Welcome to
{company_name}
Use the template name as the trigger: approval templates send when that partner is approved, campaign templates when that campaign event happens, welcome templates when you welcome the partner to the network. This article does not add templates beyond this list.
Edit Email Template
Open a template to edit it. Example: Account removal/deleted Email. The modal banner reads: Sent when an account is deleted.
- Subject (required) — For example, Your account has been removed.
- Body (HTML) (required) — Message content, with a Preview button.
- Status — For example, Active.
- Cancel — Closes without saving.
- Save Changes — Applies the subject, body, and status.
Placeholders seen in the product include {first_name}, {last_name}, {company_name}, and {campaign_name}. Keep the curly braces and spelling exactly as shown so OffZio can fill in the person’s name, company, or campaign. This article does not list a full placeholder catalog beyond those.
Tip: Use Preview before Save Changes. Do not delete placeholders if you still want automatic names in the email.
Common tasks
Keep system delivery
- Open Email delivery.
- Leave SMTP fields blank, or remove custom SMTP if you had filled them.
- Save if a Save control is present.
Send mail from your domain
- Open Email delivery.
- Enter Username / From email, Password, Host, Encryption, and Port from your provider.
- Click Test Credentials.
- If the test succeeds and a Save control is present, save.
- Send a test event (for example a welcome or approval) to an inbox you control.
Edit a template
- Open Email Templates.
- Open the template you need (for example Account removal/deleted Email).
- Edit Subject and Body (HTML). Keep placeholders such as
{first_name}intact. - Set Status to Active if the email should send.
- Click Preview, then Save Changes.
Best practices
- Start on system delivery until branding (name and logo) looks right in Preview.
- Switch to SMTP when you want partners to see mail from your domain and to improve deliverability.
- Use an app password when the mailbox provider requires it. Never paste SMTP passwords into Internal Note.
- Match Host, Encryption, and Port to the provider’s SMTP documentation (587 + TLS is a common example, not a requirement).
- Keep campaign subjects using
{campaign_name}so every offer is identifiable. - Platform signup mail stays OffZio-branded; do not expect those messages to use your SMTP From address the same way.
