Publisher Billing
Publisher Billing is the network-wide finance screen for affiliate balances and invoicing. Use it when you need to see, across every publisher, what is still pending, what is approved and ready to invoice, and what has already been invoiced but not yet paid.
This guide is for day-to-day payout operations. To change one publisher’s payment terms, invoice frequency, or beneficiary details, open that affiliate in Manage Publishers and edit Billing Preferences.
What Publisher Billing is for
Publishers earn payouts when their traffic converts. OffZio tracks those earnings in stages. Publisher Billing lets a Network Admin:
- See network totals for pending, approved, and unpaid invoice amounts.
- Scan every publisher’s balances in one list.
- Find affiliates who are ready to invoice.
- Spot publishers whose payment method is not set before you try to pay them.
- Export the current list and open the full invoice list.
Note: This page is about money owed to publishers (payouts). It is not the advertiser billing or spend screen.
Who can use Publisher Billing
Only a Network Admin should manage publisher balances and invoicing. Confirm your role on the sidebar profile card if you are unsure. It should show a name and role such as OffZio Admin · Network Admin.
How to open Publisher Billing
- Sign in as a Network Admin.
- In the left sidebar, open Billing.
- Click Publisher Billing.
The page title is Publisher Billing. The subtitle reads Manage publisher balances and invoicing. The top-right primary button is + View All Invoices.
Pending, Approved, and Balance Due
Three summary cards sit at the top of the page. They total the same three amounts you will see on each publisher row. Read them in this order:
- Total Pending — Earnings from conversions that are not yet approved. This money is not ready to invoice or pay.
- Total Approved — Earnings that have been approved and are ready to be invoiced. This is the pool you work from when you create publisher invoices.
- Total Balance Due — Amounts on invoices that have already been issued but are still unpaid. The invoice exists; the payout has not been completed.
Note: Do not treat Pending as money you must pay this cycle. Approve conversions first. Then invoice from Approved. Balance Due only appears after an invoice has been issued and remains open.
Tip: On Manage Publishers, a single publisher’s details page also shows Approved Balance, Pending Balance, and Total Payable. Publisher Billing rolls those ideas up for the whole network and adds Balance Due for unpaid invoices.
View All Invoices
Click + View All Invoices to leave the per-publisher balance list and open the invoice list for the network. Use that when you need issued invoices rather than who still has approved earnings waiting to be invoiced.
Search, status, refresh, and export
The toolbar sits above the publisher list.
- Search — Find a publisher by name, company, or ID.
- Status — Dropdown, for example All Status. Narrow the list to a publisher account status when you do not want every affiliate.
- Refresh — Reload totals and row amounts after approvals, invoices, or payments change.
- Export — Download the current list (respecting search and status) for finance or offline review.
Note: Export uses what you currently see. Set search and status first, then click Export.
How to read a publisher billing row
Each row is one publisher. Columns appear in this order:
- Publisher — Numeric id, company or team name, and contact person.
- Status — Publisher account status, such as active.
- Invoice Frequency — How often this affiliate is invoiced, such as Weekly. This comes from the publisher’s billing preferences.
- Payment Method — How the publisher is paid. May show Not set.
- Pending Balance — Unapproved earnings for this publisher.
- Approved Balance — Approved earnings ready to invoice for this publisher.
- Balance Due — Open (unpaid) invoice amount for this publisher.
- Actions — The three-dot menu. It opens publisher-specific billing options for that row.
For illustration only, a row might look like this: #1 Demoaff / John Doe, status active, invoice frequency Weekly, payment method Not set, pending $0, approved $30, balance due $0. Your live list will show your own publishers.
Tip: In that example, $30 approved and $0 due means you can invoice $30, but no invoice is sitting unpaid yet. Pending $0 means nothing is waiting for conversion approval.
Payment Method “Not set”
If Payment Method is Not set, OffZio does not yet have a payout method on file for that publisher. Do not treat the row as ready to pay until someone records payment details.
A Network Admin (or the publisher, if your process allows it) should complete payment information before you send funds. Open the publisher from Manage Publishers and review Billing Preferences — beneficiary name, billing email, payment terms, and related fields — then return to Publisher Billing and click Refresh.
Note: A publisher can have an Approved Balance and still show Payment Method Not set. Approved means the earnings are ready to invoice. It does not mean you already know how to pay them.
Invoice Frequency and Billing Preferences
Invoice Frequency on this list comes from the publisher’s billing preferences (for example, Weekly On Monday). Change it on that publisher’s details page, not by renaming a column here.
Typical related fields on Manage Publishers include Payment Terms, Invoice Frequency, Billing Email, Beneficiary Name, Beneficiary Address, Tax ID, and VAT. The publisher Billing tab shows payout history for that affiliate. Use Publisher Billing when you need the same money picture for the whole network.
Common tasks
See who is ready to invoice
- Open Billing → Publisher Billing.
- Read Total Approved for the network total.
- Scan rows where Approved Balance is greater than zero.
- Confirm Payment Method is set before you plan the payout.
- Use + View All Invoices if you need the invoice list rather than balances.
Find a publisher
- Stay on Publisher Billing.
- Type the name, company, or ID in search.
- Optionally set the Status dropdown.
- Read that row’s Pending, Approved, and Balance Due amounts.
Export the billing list
- Set search and Status so the list matches what finance needs.
- Click Export.
- Save the file for an offline payout run or audit.
Open invoices
- Click + View All Invoices.
- Work from issued invoices when you are collecting or marking payments.
- Return to Publisher Billing when you need balances that are not yet invoiced.
Best practices
- Work the three amounts in order: approve pending conversions, invoice approved balances, then pay Balance Due.
- Do not pay from Pending. Those conversions are not approved yet.
- Fix Payment Method Not set before the first payout for that publisher.
- Keep Invoice Frequency accurate on the publisher’s Billing Preferences so this list stays trustworthy.
- Refresh after you approve conversions or issue invoices so the cards match the rows.
- Use Manage Publishers for one affiliate’s preferences; use Publisher Billing for the network payout queue.
